Crowdfunded and Kickstarter Book Fulfillment
Updated October 2026
When a campaign funds, hundreds of backers are waiting on the same shipment. Every reward tier has to be packed right and protected, and the orders all go out in one wave.
Kickstarter book fulfillment is the storage, reward-tier kitting and shipping of backer rewards after a crowdfunded book campaign closes. The campaign collects the pledges and addresses and hands over a final order file. From there we receive the print run, kit each reward tier in batches, and ship the wave of orders from our US warehouses.

Orders first, books later
Why a funded campaign is a different fulfillment job
Crowdfunding is one of the most common ways a niche publisher proves there are readers before paying for a print run. When a Kickstarter or similar campaign funds, the orders already exist. Hundreds or thousands of backers have each pledged to a particular reward tier over the weeks the campaign ran. In ordinary online selling, orders come in a few at a time once the book is on the shelf. With a campaign, nothing ships until it closes, and then every order is due at once.
So the warehouse has to cope with one big rush instead of a steady flow. The orders also differ from each other. A campaign with five pledge tiers means five different boxes to pack, from a single paperback at the bottom to a numbered hardcover with an art print and an enamel pin at the top. Each backer needs to get exactly the tier they pledged for, and all of them need it in the same few weeks.
After the campaign closes
The post-campaign survey and the order hand-off
A pledge isn't yet an order you can ship. Pledge levels and stretch goals change what each backer is owed, so when a campaign ends the publisher is usually still missing three things:
- a shipping address for every backer
- each backer's final add-on choices
- payment for shipping
Publishers collect these with a survey after the campaign. BackerKit is the best-known tool, and other platforms work the same way. Each backer confirms an address, settles on a reward tier and pays whatever shipping is owed. Once the survey closes, you have a final order file with every address filled in.
Running the survey is the campaign's job. We start when you send us that final file, with tiers and addresses confirmed. The orders go into BestOMS, and we receive your print run and shelve it against them. Because the survey is finished before anything reaches us, your backers ship together in one wave rather than a few at a time as addresses come in.
How we run a campaign
Batch-kitting the tiers and shipping the surge
We work with finished books. Your printer prints and binds them, and kitting here means putting those books and their add-ons into one box.
Once the final order file arrives, there are four main jobs.
- Kitting the reward tiers. Every tier gets its own box contents. We pack the book with whatever that tier adds, such as a bookmark, an art print, a numbered plate or an enamel pin, and check the box's contents by scan. A box that's short an item, or packed for the wrong tier, shows up at that scan before it ships. Our page on kitting and bundle assembly goes through how it's done.
- Gentle handling for special editions. Signed, numbered and slipcased editions need extra protection on the corners and covers and a slower packing line. Ask any warehouse to show you that line before your reward stock arrives. Foiled and coated covers can warp in humid air. If a title needs a held humidity range, ask any warehouse whether it keeps one; ours store books dry but don't. For more on these editions, read signed, numbered, and special-edition fulfillment.
- Shipping the rush. The release is planned with our team around your backer count, so orders go out on a schedule instead of piling up on the first day. A book launch puts a similar strain on a warehouse, and book launch and pre-order fulfillment covers it.
- Choosing the carrier. Carrier choice sits with the people who pack each backer's order, which can potentially keep a heavy tier with several items from costing more to ship than it should. What's in the box decides whether a tier can go Media Mail. See freight and heavy-unit handling for how we work with carriers.
Backers abroad and Media Mail
International backers and Media Mail
Campaigns attract backers from all over the world, and shipping to them takes more planning. The campaign usually sets an international shipping price for each tier, and the survey gathers the overseas addresses. Our network was built for delivery inside the US, so talk to our team about options for your international backers before you count on them.
Media Mail needs the same check. It's a USPS service only for qualifying printed matter, and a box that also holds a pin or an art print may not qualify. It's also slower, so we compare it tier by tier with the delivery window your backers were promised. Send us your reward tiers and we'll tell you which ones qualify.
What backers remember
The fulfillment is the last thing a backer remembers
Backers wait months between pledging and opening the box, and the box is the only thing they can hold that shows the campaign was real. A wrong tier, a missing add-on or a numbered hardcover with a bent corner can turn their goodwill into a refund request and a public comment. Those comments are still there when you launch your next campaign.
Before you choose a warehouse, find out how it confirms each box matches the backer's tier, how it protects each book's corners, and how it plans the rush around your backer count. Then ask how it would measure order accuracy and damage on a wave your size, and how it would report both to you while the wave ships.
Crowdfunded & Kickstarter book fulfillment FAQs
What is Kickstarter book fulfillment?
It is the storing, kitting and shipping of backer rewards once a crowdfunded book campaign closes. The campaign gathers pledges and shipping addresses, often with a BackerKit-style survey, and then sends a final order file to the warehouse. We receive your print run, kit each reward tier in batches with a scan check on what goes in the box, and scan each order against its barcode before it ships.
How do you handle reward tiers and add-ons?
Each pledge tier holds a different set of items, so we kit the tiers in batches. The base tier might be one paperback. A higher tier might add a numbered hardcover, an art print, a bookmark or an enamel pin. Kitting puts each tier's contents into a box and checks them by scan, and that scan is what catches a box packed for the wrong tier, or one missing a piece, before it leaves. Ask any warehouse to show you where in the packing that scan happens.
Can you handle the rush of orders after a campaign funds?
Every crowdfunded book has this rush. Backers sign up over weeks, sometimes in the thousands, and then all of their orders arrive together once the survey closes and the books are printed. You decide how to divide your stock among our warehouses, and we plan the staffing and the order of shipping with you around your backer count. A warehouse should be able to tell you how its last wave of a similar size went.
Do you handle signed, numbered, and special editions from a campaign?
Yes. We scan every book as it's picked, so the title and edition are matched to the order before it ships. These editions also need gentler handling than the trade edition: extra protection on the corners and covers, and a slower packing line. Ask any warehouse to show you how it handles them, and we'll work out the packing for your editions with you.
What about international backers and Media Mail?
Most campaigns pick up some backers abroad, and the campaign usually builds that postage into each tier. Ask us about international options for your campaign. Inside the US, our ground service reaches 99.77% of the US in 1-3 days from warehouses across the country, and carrier and service are picked by the same people who pack the box. Media Mail costs less but takes longer, and a backer who paid for a tier expects it within the window you promised. Use it only where it still meets that window.
Tell us about your funded campaign
Send us your reward tiers, backer count and titles. We'll show you how each tier would be kitted and how the wave of orders would ship. The quote is free, and it doesn't bind you to anything.
