Toner & Ink Cartridge Fulfillment

Updated October 2026

One printer family can mean dozens of cartridges that look the same on the shelf and differ by a few characters in the part number. Shipping the wrong one ruins the order, so we scan every cartridge at pick and pack, and we keep high-value toner under secured handling.

Toner and ink cartridge fulfillment covers four jobs:

  • receiving printer cartridges
  • storing them, with high-value toner under secured handling
  • picking each order, with every cartridge scanned against the model ordered
  • packing it in a carton sized to the order

One printer family can produce dozens of near-identical cartridges that differ only by yield, color or region. We scan each sealed cartridge at pick and at pack, so a wrong model is caught before the carton is closed.

Why cartridges get mixed up

One printer, dozens of cartridges that look alike

Toner and ink are among the easiest office consumables to ship in the wrong model. A single printer family can fill a shelf with cartridges that look almost identical:

  • standard-yield and high-yield versions of the same color
  • black next to cyan, magenta and yellow
  • single cartridges next to multipacks
  • region-coded versions whose part numbers differ by one digit at the end

They come in the same size box, with the same branding and the same plastic. What separates the cartridge a customer ordered from the one beside it is a few characters most people wouldn't stop to read.

A picker working by eye will get some of these wrong. Ship the high-yield cartridge when the standard one was ordered, or one wrong color in a set of four, and the printer refuses it or the wrong page comes out. That turns into a return, a second shipment and a support ticket, all on a low-margin item.

Catching the wrong model

A barcode scan catches the wrong cartridge before it ships

Careful eyes won't reliably tell these cartridges apart, but a barcode will. We scan every cartridge against the order, one unit at a time, and a model that doesn't match won't go through.

When our picker pulls a cartridge, they scan its barcode and the system checks it against the model on the order. A barcode that doesn't match is rejected. The scan compares part numbers, not boxes, so a high-yield cartridge can't stand in for a standard one, and neither can the wrong color or a version coded for another region.

Because each unit is scanned on its own, the check works the same for one cartridge or a full case. We scan again at the packing table before the carton is sealed. Orders from your own site, from marketplaces and from contract replenishment all land in BestOMS, our order system, with Deposco behind it and Dropstream connecting your store, marketplaces and accounts. Each order gets the same check.

Counts stay right across single cartridges, inner packs and cases through the same breakpack and each-level picking we run for the rest of an office catalog, and the scanning is part of our pick-and-pack service.

Protecting high-value toner

Secured handling for high-value toner

A case of laser toner can be worth more than a pallet of paper, and that makes it a target for theft. We keep high-value toner under tighter control than a low-value bin gets.

Toner is small, dense and valuable, which is exactly what makes it worth stealing. So we don't leave high-value toner in an open bin with everyday supplies. It goes into controlled bin locations, and we scan it at receiving, at pick and at pack, checking the count at each step until the carrier takes the carton. Those are the same scans that catch a wrong model. A unit scanned at every step is hard to lose without anyone noticing.

We don't open cartridges, so while one is with us its seal is part of the record of who has handled it. Any unit that isn't sealed and sellable is kept out of sellable stock, whether we find it at receiving or in a return. On an expensive SKU, the scans and the secured locations work together against two risks: the wrong model going out, and a unit going missing.

What we do and don't do

We ship sealed cartridges; we don't refill or remanufacture them

We fulfill finished, sealed office products. We're a 3PL, not a manufacturer, so we don't make, refill or remanufacture cartridges, and we don't open or alter sealed product. With the cartridges you send in, our work is to:

  • receive them
  • store them under secured handling
  • pick and pack each order, scanning every cartridge
  • ship it

That's the same whether you send us OEM, compatible or remanufactured cartridges you already produce. Where an order needs kitting, we put finished, sealed units together in one box.

We keep to sealed product on purpose, because it keeps accuracy and custody simple. The unit that arrives sealed is the unit that ships sealed, checked against the right model and counted until it leaves. Returned cartridges go through our returns inspect-and-restock process.

Questions about shipping toner and ink

What is toner and ink cartridge fulfillment?

It covers receiving printer cartridges and storing them securely. Each order is then picked with a barcode scan on every cartridge and packed in a carton sized to it. The hard part is that one printer family can produce dozens of near-identical cartridges that differ only by yield, color or region, so we scan each one at pick and again at pack. That second scan is there to catch a wrong model before the carton is sealed. The cartridges we ship are finished and sealed.

How do you stop the wrong cartridge model being shipped?

We rely on the barcode, not on someone's eye. Standard and high-yield versions, black and tri-color cartridges, and OEM and remanufactured-look boxes from one printer family sit side by side, and region-coded versions add more. On the shelf they read almost the same. The picker scans each unit against the order, and the system rejects any barcode that doesn't match the model ordered, so a look-alike can't pass for the right one. The mistake gets caught at the shelf rather than by your customer.

How do you protect high-value toner from theft and loss?

Toner is a known target for theft, so we give high-value cartridges secured handling. They sit in controlled bin locations, not an open bin with everyday supplies. We scan them at receiving, at pick and at pack, checking the count at each step until the carrier takes the carton. The scans that catch a wrong model double as a guard against loss.

Do you refill or remanufacture cartridges?

No. We're a 3PL, not a manufacturer, so we don't make, refill or remanufacture cartridges, and we don't open or alter sealed product. We fulfill finished, sealed office products. With the cartridges you send us, we receive, store, scan, pick, pack and ship, and when we kit, we only put finished, sealed units together in a box.

Can you pick single cartridges, breakpacks, and full cases off one SKU?

Yes. We track stock by the single cartridge, the inner pack and the case, so an account can order any of the three from the same SKU. Every cartridge is scanned on its own, which is what catches a near-identical model. A carton sized to the order also helps keep a small, valuable cartridge order from being billed for empty space.

What happens when a cartridge is returned?

We inspect each returned cartridge and rescan its barcode, so it's recorded against the right model instead of a guess. Only sealed units in sellable condition go back into stock, so an opened or wrong-model return isn't sent to your next customer as new.
